2. Scope and Acceptance
These Terms and Conditions (“Terms”) govern access to the website and registration for the Event. By completing a registration and confirming payment, you enter into a binding contract with OKFR and confirm that you have read, understood and accepted these Terms and the Cancellation and Refund Policy, which forms an integral part of this contract.
Where these Terms and the Cancellation and Refund Policy differ, the Cancellation and Refund Policy prevails on matters of cancellation, transfer and refund.
3. Nature of the Event
The Event is organised on an occasional basis, on a not-for-profit basis, and is offered exclusively to a limited group of participants, namely members and invited guests of the Great Priories affiliated to the Order.
Registration is not open to the general public and requires prior validation of membership or an invitation issued by OKFR or by an affiliated Great Priory.
The participation fee is calculated to recover the direct costs of organising the Event. OKFR does not derive profit from the Event.
4. What the Participation Fee Covers
The participation fee is a fee for services (not a donation) and covers, per registered person:
- Accommodation at Radisson Blu, 3 nights, in the room category selected at registration
- Meals as detailed on the Accommodation and Activities page
- Access to the ceremonies, sessions and social activities included in the official programme
- [Local transfers, as specified]
The participation fee does not cover: international or domestic travel to and from the Event; visa costs; travel, health or cancellation insurance; extra nights; hotel incidentals and minibar; personal expenses; any activity marked as optional.
Prices are stated in EURO and include applicable taxes.
5. Registration and Payment
Registration is completed online and payment is processed by Stripe Payments Europe Ltd, in accordance with Stripe’s own terms. OKFR does not store, process or have access to your card data.
A registration becomes binding upon confirmation of payment. You will receive a confirmation email containing your registration details, the applicable version of these Terms and a copy of the Cancellation and Refund Policy in force at that moment.
You are responsible for the accuracy of the data you provide, including the exact name of each participant and any dietary or accessibility requirements.
6. No Right of Withdrawal
The Event is a service related to leisure activities, provided on a specific date and over a specific period. In accordance with Article 16(l) of Government Emergency Ordinance no. 34/2014 (transposing Directive 2011/83/EU), the 14-day right of withdrawal does not apply to this registration.
Cancellation by the participant is governed exclusively by the Cancellation and Refund Policy.
7. Cancellation, Transfer and Refunds
Cancellation by the participant, transfer of a registration to another eligible person, and refunds are governed by the Cancellation and Refund Policy, published at https://2026.ofcr.club/cancellation-policy/ and incorporated into these Terms by reference.
The version of that Policy applicable to you is the version in force at the moment your payment was confirmed, as recorded in your confirmation email and in your order record.
8. Transfer of Registration
A participant who is unable to attend may transfer their registration to another eligible person, under the conditions and within the deadline set out in the Cancellation and Refund Policy. This right exists in addition to, and independently of, any refund entitlement.
9. Changes to the Programme
OKFR may make minor changes to the programme, schedule, venues of individual activities or speakers, where these do not materially alter the nature of the Event. Such changes will be communicated as soon as reasonably possible and do not give rise to a right of refund.
Where OKFR must make a significant change — a change of hotel to a lower category, a change of the Event dates, or the removal of a substantial part of the programme — the participant may either accept the change or terminate the contract and receive a full refund, including processing fees, provided they notify OKFR within 7 days of being informed.
10. Cancellation or Relocation by the Organiser
If OKFR cancels the Event, all amounts paid are refunded in full, including payment processing fees, within 14 days of the cancellation announcement.
OKFR is not liable for travel, accommodation or other arrangements booked independently by the participant outside the participation fee. Participants are strongly advised to obtain travel and cancellation insurance.
11. Force Majeure
Neither party is liable for failure to perform where performance is prevented by an event beyond its reasonable control, including natural disaster, epidemic, act of terrorism, war, civil unrest, strike, or an act of a public authority (including travel restrictions and entry refusals).
If the Event cannot take place for reasons of force majeure, OKFR will refund all amounts paid less any sums already irrecoverably paid to third-party suppliers, and will provide participants, on request, with a written statement of those sums. OKFR will make reasonable efforts to recover such sums from suppliers and will pass on any amount recovered.
A participant’s inability to travel for personal reasons — including visa refusal or illness — does not constitute force majeure and is governed by the Cancellation and Refund Policy.
12. Conduct and Right of Admission
Participants are expected to observe the customs and standards of the Order and the rules of the host venue. OKFR reserves the right to refuse or withdraw admission in cases of serious misconduct, without refund. The cost of any damage caused to the venue is borne by the participant responsible.
13. Images and Recordings
Photographs and recordings may be made during the Event and used by OKFR for documentation and communication within the Order. Participants who do not wish to appear may notify OKFR in writing before or during the Event. Full details are set out in the Privacy Policy.
14. Amendments to These Terms
OKFR may amend these Terms and the Cancellation and Refund Policy. Any amendment:
- takes effect from the date stated in the amended version and applies only to registrations completed on or after that date;
- is announced on the website at least 7 days before it takes effect;
- does not alter the terms applicable to registrations already completed, unless the participant expressly accepts the new version.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, for fraud, or for any liability which cannot lawfully be excluded.
17. Data Protection
Personal data is processed in accordance with Regulation (EU) 2016/679 (GDPR). Full details, including the categories of data, the purposes, the retention periods and your rights, are set out in the Privacy Policy.
18. Complaints, Applicable Law and Dispute Resolution
